WESA Exhibit Space Assignment Guidelines
Temporary Exhibit Space Information & Request Guidelines

Temporary exhibit space assignment procedure:

  • Temporary exhibit space will be assigned to all Exhibitors by seniority and availability, according to established policy.
  • If seniority points are equal, then temporary exhibit space may be assigned by date of membership, and if dates of membership are equal, then by date of receipt of Exhibitor Contract. This is an equitable system that eliminates “politics”. WESA’s records are open to any Member at any time.
  • There is no “bumping” by seniority points. Temporary exhibit space is assigned by seniority points. Therefore, we do not know in advance of the Exhibitor Contract deadline what exhibit spaces will be available.
  • A maximum of 2,000 square feet of temporary exhibit space will be assigned to any Individual Member/Exhibitor.
  • A maximum of 4,000 square feet of temporary exhibit space will be assigned to any Company Member/Exhibitor.
  • All requests for temporary exhibit space must be in writing and must accompany the Exhibitor Contract. Attach additional request information on a separate sheet, if necessary.
  • Space assignment confirmations are emailed & mailed by October 25, 2024.
  • Temporary exhibit space assignment order: Space assignment takes place after the September 8, 2023, contract deadline, in the following order:

  • Exhibitors who held temporary exhibit space in their names in the January 2024 Trade Show, by seniority and availability.
  • Exhibitors who held temporary exhibit space in their names in the August 2024 Trade Show, by seniority and availability.
  • Exhibitors with seniority, who have participated in Trade Shows in past years, by availability and seniority.
  • Exhibitors without seniority, if temporary exhibit space is still available, by availability and date of membership.
  • Exhibitors who submit “LATE” contracts, if temporary exhibit space is still available, by date of receipt of late contract and then by availability and seniority.
  • Temporary exhibit space assignment requests:

  • All requests for temporary exhibit space must be noted on the Exhibitor Contract in the space provided.
  • Be specific. List preferred options in order of preference. All requests are addressed at a one-day meeting-Exhibitors cannot be contacted to see “what they meant”.
  • WESA cannot advise what changes in temporary exhibit space will be possible in advance of the exhibit space assignment process itself. It is not possible to predict what effect each request will have on the next as they are considered from the highest points to zero points.
  • Every effort is made to accommodate Exhibitor requests for temporary exhibit space. It is in WESA’s best interests, too, to make every Exhibitor a successful part of the Trade Show.
  • By submitting an Exhibitor Contract in anticipation of exhibit space for a WESA Trade Show, WESA Exhibitors understand that failure to submit the Contract by the deadline, along with the required fees, may mean that exhibit space cannot be assigned. Exhibitors also understand that exhibit space for WESA Trade Shows is limited by availability and that available exhibit space is assigned by seniority and date of membership, according to established policy and guidelines.

The following Rules, Regulations and Codes of Conduct (Trade Show Rules), as approved by the WESA Board of Directors, govern all WESA Trade Shows and attendees. WESA Members/Exhibitors are responsible for compliance upon submission of a completed Exhibitor Contract, including all related subparts and fees.

Exhibit spaces must be open during all published show hours or be subject to automatic and established penalties for late openings and early closings.
  • A Member failing to occupy his assigned temporary exhibit space before the closing hour of the designated move-in period, for a given Trade Show, forfeits the right to the assigned exhibit space, without refund or other compensation. WESA has the right, unless notified before the closing hour of the designated move-in period, to take possession of said space and to make arrangements to use the space to advance the best interests of the Trade Show.
  • Any loss of WESA or Trade Show complex equipment or damage to an exhibit space, exhibit area or furnishings, will be charged to the assigned and/or listed Member. The assigned Member is responsible for returning the temporary exhibit space to its original condition.

Additionally, caution must be used when attaching product or display to a pipe and drape or to any element of a booth that might affect the pipe and drape stability. Should any exhibit space be deemed “unsafe”, WESA reserves the right to take any and all cautionary and necessary action with or without a Member’s permission.
